Overview

If you are thinking of renovating or building a meeting room, conference room, lab, event space, auditorium or classroom on campus, the UBC IT Audio Visual Projects team will provide you with expert guidance in AV system design, project management and installation.

We are equipped to handle all kinds of AV-related projects on campus, including digital signage, presentation systems, video or web conferencing, active learning labs, research and observation systems, and others.

We strive to provide effective and unique audio visual solutions in all formal and informal learning spaces throughout campus. Our consistently high standard of functionality and usability for campus AV systems will empower faculty, staff and students to utilize evolving technology as a means of exploring exciting new methods of teaching, learning and communicating.

Our Project Approach

1. SUBMIT NEW PROJECT REQUEST TO AV.PROJECTS@UBC.CA Email your Project Request to av.projects@ubc.ca and include details of what is needed, your contact information and room information such as the address, room number(s), room type and capacity.
2. PROJECT INTAKE DISCUSSION Our AV Project Administrator will receive your request and follow-up via phone call or email. After the initial touch base, a Project Manager and AV System Designer will be assigned by our leadership team based on workload and experience related to your specific project
3. PROJECT REQUIREMENTS ASSESSMENT Our project team will meet with you either virtually or in person, to gather a detailed understanding of the project needs and requirements.
4. INITIAL BUDGET AND SCHEDULE REVIEW The Project Manager will provide you with a high-level budget and estimated schedule for your review and approval.
5. MARKET PRICING The Project Manager will go to market on your behalf to get the best possible pricing on required equipment and services. A detailed Quote will be provided to you for approval.
6. INTEGRATION, PROGRAMMING and TESTING: Our certified System Integrators and Programmers will build a system that is functional, intuitive and meets user needs. Our Project Manager will coordinate with any other parties (Building Operations, Network etc.) required for successful project delivery.
7. SYSTEM HAND OVER The system will be thoroughly tested and configured before hand over. Upon completion, you will have the opportunity to assess the system and receive comprehensive training to ensure your ease and confidence using the system.
8. INVOICING AND CLIENT SIGN-OFF You will be provided with a final invoice for sign-off and billing.
9. CONTINUED AV SUPPORT Our AV Team will continue to provide you with ongoing technical support; please submit your service request by simply emailing av.helpdesk@ubc.ca.

Our Projects Team

AV Project Managers

Our Project Managers have extensive experience overseeing projects and systems of various sizes and levels of complexity. They will coordinate trades and services to ensure the timely and cost-effective completion of any AV project. They are the clients point of contact throughout the entire process, and will ensure satisfaction with the end-result.

AV Systems Designer

Proper understanding of your technical requirements and documentation of an appropriate AV solution to meet these requirements are key to the successful completion of any project. Our AV Systems Designers create professional CAD drawings and other design documents for audio, video, lighting and control systems to relay detailed information both to our internal integration team as well as any other external parties involved with the project. Our Design Team is always refreshing their knowledge base to keep up with the latest products and trends in technology.

AV Integration

The UBC IT AV Integration and Programming team bring unmatched AV industry experience and credentials to the UBC community. Our team has installed hundreds of AV systems on campus and is familiar with the UBC standards and practices pertaining to all construction related work. They ensure systems are installed safely and built to last.

Our programming team will provide a user-interface for any specific project that is functional, easy to use, and attractive. Members of our team hold many AV industry certifications and are constantly keeping their knowledge and skills current.
